UCL East – Events Assistant Apprentice

What happens next?

This is an Apprenticeship role and the post holder will work towards an Event assistant (level 3) qualification. UCL and the allocated training provider will support the Apprentice to achieve this in a timely manner by making the time available to attend the training. The Events Assistant will work with the Cultural and Community Engagement team at UCL East to support the administration and delivery of a diverse programme of public facing events at UCL East. The public programme of activity at UCL East aims to engage local communities with research, teaching and learning at UCL, and to support the vision of UCL as open accessible and publicly engaged. The events will support the arts and cultural programme at UCL East, which includes a large amount of public art, and the exhibition programme within the building. The Events Assistant will work with the Events Coordinator to help organise and run a programme of events aimed at an east London audience. This includes areas of administration such as booking spaces, speakers and catering; creating ticketing links and updating webpages, writing marketing text and creating event listings, and supporting the on the day running of events. They will also support the Exhibition Manager and the Community Engagement Managers when relevant to public facing activity. The Events Assistant will need to interact with staff and students at UCL, as well as external partners and members of the public, and will be part of a project team made up of these diverse groups. They will need to be available to attend the events they are part of organising. The post is an apprentice role that will be based on-site at our UCL East campus in Stratford. The postholder will be expected to work from the Campus with flexibility to attend evening and weekend events when needed. Time off in lieu will be provided for any evening and weekend work. We also welcome applicants from a range of educational backgrounds however we would expect learners to have GCSE's in both English and Maths at a C(4) grade or above. Duties and responsibilities: · Attend planning meetings for events with project teams, taking and sharing notes and actions. · Researching, visiting and booking rooms and venues for events, both at UCL East and at external venues. · Creating ticket ordering forms using Eventbrite; managing the booking process and responding to accessibility requests. · Supporting event marketing, including collating information to share in relevant newsletters and adding events to listing webpages. · Ordering materials and catering for events using the UCL systems. · Ensure budget spending is on track for their activities. · Support systems and processes related to paying suppliers/contractors. · Fill in risk assessment and event management plans. · Organise room set up, including making sure that any audio-visual elements are working, and sourcing support when needed. · Attend events and support event management including registering attendees, setting out catering, and supporting Q+A or panel discussions (e.g. acting as a mic runner). · Collect feedback from events using forms, surveys or more creative methods. · Contribute to event evaluation and reflection in the team. · Actively consider and support diversity and inclusion within their work and the events they are part of. · To be available and supportive to the wider team. · Actively participate in personal and professional development when opportunities arise both within and alongside the Apprenticeship level 3 training. - Experience in organising activities with others, this could be at work or in education or personal life. - A good understanding of east London, and the communities that work and live there.

- Strong organisational skills, including being able to manage tasks, schedules and deadlines. - Good communication skills, both spoken and written, and the ability to work with a diverse range of audiences. - Attention to detail. - Ability to actively consider and support diversity and inclusion. - Ability to work independently and manage own time. - Skills in problem solving and adaptability. - Excellent team working skills, and the ability to work effectively as part of a multi-disciplinary team - Good interpersonal skills, and ability to develop good working relationships with a range of colleagues and external partners. Qualifications Required

Five GCSEs at Grades A*-C or 9 – 4 (including English & Maths), Functional Skills Level 2 in English and Maths, or a relevant Level 2 Apprenticeship.

The apprenticeship programme and employment are inclusive of each other. You will need to demonstrate excellent levels of commitment to both the training and job role. You will work at UCL East 80% of the time, and study 20% of the time.
